Project Graduation Meeting Minutes for Tuesday, June 12, 2007:

 

Secretary's Report from 6/6 meeting online.

 

Treasurer's Report:  $150.00 spent for 3 Outback certificates as "thank you" to the 3 bus drivers; $584.84 spent for purchases from Oriental Trading (check to Tammy Thibault); $45.91  to Diane Goulet for purchase of decorations; $350.00 final payment to Spirit of Ethan Allen.  Received $36.42 from sale of glass globes and coin collections for a balance of $8,630.12.  Outstanding payments  for Yankee Lanes ($8.00 per student who attends) payment to Rod Hill, DJ; payment for t-shirts (Chris Hughes - decided to pay him the $800.00 allocated as he printed 144 t-shirts and only charged us $5.00 each); Security One and for food.  Sally received $207.00 from McDonalds for "McDonald's McTeacher" night and will pass on to Debbie Harkins, Treasurer. 

 

Parent Volunteers for 6/16 and 6/17:  Kris reported that we looked OK through the night but if parents would still like to volunteer please come between 5:00-6:00 p.m. Saturday night and see where help is needed.  

 

Entertainment:  Steve Bell reported he has the TV's, Dance Dance Revolution DVD's and extension cords.  There will be sign ups for either a caricature or hand molds.  They are only here for 3 hours so seniors will have to sign up for one or the other. 

 

Food Committee Update:  Kathy Dulac reports that there will be 4 coolers available.  She still needs to check with McDonald's about ice, but if the parents donating the use of the coolers could fill them with ice before they are brought, that would be helpful.  She will get the definite cost of the Subway subs and pizza and verify that Tina Coolbeth is picking up the subs and Chris Vaughn, the pizzas.  Kathy has Betsy Paya plugging in the coolers for drinks early; will borrow a coffee pot from wrestling (thanks Judy P.!) for coffee to be made at the beginning of the night (and for breakfast).  Hot dogs will be served with pizza at the school.  Ruth Custeau volunteered to purchase an electric frying pan to replace the broken one that was used this year; Project Graduation will reimburse her for this purchase as it will be used for future events.  We need to bring the cups and ice to the bowling alley. 

 

Other Discussion:  Sally will have a list of all parents with cell phone numbers that will be used the night of Project Graduation.  Kris has a first aid kit she can borrow from work and Ruth Custeau volunteered to be our resident "medic" (she is a registered nurse!).  There is NO SMOKING any where at the school, on the boat, on the buses, at the bowling alley, etc.  It is a school function.   We need to monitor the bathrooms along with any outside door.  Tables will be set up in the outside lobby with one door for entrance.  Once the students come in and leave off their keys, etc., they cannot leave.  Video will be shown in cafeteria while breakfast is going on.  After, gift bags, raffle prizes and personal belongings will be handed out and students are allowed to leave.

ATTENTION;  if you know of any current Junior parents, please invite them to a meeting on Monday, July 9th at the Alley Coffee House.  A letter will be sent to all Junior parents.

 

See you all on Saturday morning!  Get there early for a "good" seat (and parking place!).  Be proud of your sons and daughters, the Class of 2007 is very special!

Project Graduation Meeting Minutes for June 6th:

 

Secretary's Report on the web for the May 30th meeting.

 

Treasurer's Report:  Debbie Harkins stated that $78.12 was collected since last meeting (donation can money and raffle ticket money).  She wrote a check for $3,725 to Entertainment Solutions. The ending balance is $9,724.  She is still waiting for some money for the globes.  Yankee Lanes estimate was $8.00 based on 180 students.  Tim Palermo will contact them to ensure that it's $8.00 per person even if we have less then 180.  Right now we have 99 seniors and 64 guest, for a total of 163 students attending. 

 

McDonald's McTeacher Night 6/5:  Sally reported that last night was a success!  There were some parents that showed up that had not indicated they were coming, so there were more then enough volunteers (thank you!).  She will tell April, the manager, that there probably isn't a need for 10-12 people the next time this is done.  20% of the profit was $207.00. 

 

Security:  Cost is $400.00.  $25.00/hour for a minimum of 4 hours times 2 individuals.  Kris said they will be at the school from 5-9 PM and 3-6 AM.  This is through Security One.  Debbie has not received an invoice to date. 

 

Entertainment:  Steve Bell indicated that they already have a floor plan and know where everything will be set up.  Tables, chairs and extension cords will be needed. 

 

Food:  Kathy Dulac called Yankee Lanes and we can bring our drinks with us.  We'll have to supply the ice and she will call McDonald's and Renee's to see if they can fill our coolers.  It is $2.17 for fries (with tax).  She'll make up coupons for the students to use and Yankee Lanes will tell us how many were used for payment.  Everything else is all set.

 

Prize Buying Committee:  Diane has bought covers for the tables (8); 6 centerpieces; tissue paper for the bags and candy.  They need to buy the $10.00 gift cards (from various places like Dunkin Donuts, Moe's, UP-Mall, Rosario's, etc.)  Kris will supply a large jar that will be used to fill with candy or jelly beans where the seniors will have to guess how many are in the jar and whom ever comes the closest will win:  First Prize:  stereo system from Great Northern Stereo ($100.00 value); Second: $25.00 gift certificate to Kevin's Sports in St. Albans and Third:  hand sewn lap quilt (made by Laura Abbott's grandmother!).  Debbie noted that there were 10 $5.00 Al's French Fries gift certificates available so two could be combined.

 

Fund Raising:  $6.42 turned in tonight from can donations and $30.00 from aroma therapy globes.  Six globes remaining; Karen Abbott will sell.

 

Miscellaneous:  Sally still needs to hear from Norma Wells about who will be our custodians that night and who has the key.  She'll contact Norma ASAP.  It was decided to purchase three $50.00 gift certificates to Outback Steakhouse for the 3 bus drivers.  134 T-shirts were ordered by Pam Bell.  It was decided not to hire anyone to videotape the graduation as Lake Champlain Access will probably be doing it.  Bracelets are in for seniors/guests.  Storage bags were marked with guest name (in green) and senior's name (in any other color).  Sally will keep them until 6/16.  Thanks to the parents that stayed to help!

Project Graduation Meeting Minutes for May 30th

Treasurer's Report:  Debbie Harkins reported that total deposits were $28,500 since the beginning of the year.  She has written checks for $11,000 for gift cards via Key Bank and $300.00 for insurance since last meeting.  We received $500.00 from business donations/cans/bottles/aroma glass globes since last meeting.  She returned the 25 Pizza Hut cards that were not used and received $75.00.  With the $2,500 we have in reserve for the Class of 2008, we have a credit balance of $775.00 to date.  Report will be on the above web site soon.

 

Permission Slips:  We have received 88 senior permission slips with 6 forms that have missing information for a total of 94 seniors.  There were also 63 guest forms received for a total of seniors/guests of 157.  They have until Friday, June 1st to return their permission forms. 

 

T-shirt design contest:  Stuart Bell was the winner of the t-shirt design contest.  Pam Bell will take the design to Chris Hughes tomorrow to set it up for printing.  She will order approximately 110 shirts for the seniors and 25 for parent volunteers (we will wear them the night of Project Graduation) and the seniors will get their shirt in their gift bag.  We've estimated $800. for costs but Pam thought it was less then that in years past.  Parents will either purchase their shirt for $10.00 or if Project Graduation has the funds we will purchase them.

 

Prom Raffle:  Meghan Beaucage was the winner of the prom raffle.  We received $250.00 profit from using Mr. Tux.

 

Fund Raising:  McDonald McTeacher Night -  Tuesday, June 5th 4:30-7:00 p.m.  Sally Van Dreser Cheney has been working with April Bushey at McDonalds on a fund raiser that Project Graduation can use before the end of the year (they will propose it to the school district so that other committees or groups can use this fund raiser also during the school year).  Parents will serve the food, run the cash registers, cook the food and clean up.  There is training from 4:30-5:00 and work will be 5:00-7:00 p.m.  We will put up a banner, decorate McDonalds in our school colors and advertise the event.  We make 20% of what ever is sold during those 2 hours.  VOLUNTEERS ARE NEEDED!   Please call Sally at 285-2042 or email justbike@hotmail.com if you would like to help!

 

Cans are all in; business donations:  Shaws donated $50 in a merchandise certificate and Costco's donated a $25.00 gift certificate.  Not sure how much was collected in money from the cans.  Will report next week.

 

Food Committee Update:  Kathy Dulac is purchasing pizza's for the night from Rosario's (Mike is giving us a discount).  We will buy two 8 foot subs from Subway and they are donating one.  She has 8 case of water, 10 cases of Coke and 8 cases of Snapple donated.  Have all the paper products we need.  She will call Junior parents for fruit and baked good donations.  Bring cut up watermelon on the boat and have fruit platters at school.  She'll use the money from Shaws/Costco's for chips, coffee, etc.  Kathy will call Yankee Lanes to see what a pint of fries and a soda would cost and we could make up coupons for the kids to use there.  Can we bring in coolers with drinks?  It was done in years past.  She'll check.

 

Prize Buying Update:  110  $100.00 gift cards purchased from Key Bank; tshirts will be in bags along with candy.  They purchased 100 gift bags, 100 gold and 100 blue bracelets; have a banner the seniors can sign and some other decorations.  They also purchased glow in the dark necklaces/bracelets.  Instead of having 30-40 raffles they have decided to purchase $10.00 gift cards from various places (Starbucks; gas cards, etc.) and each senior will receive one sometime during the night.  Brian Gilbert has made a video that includes all seniors in it and it was brought up that if we can get them copied, then we could purchase them for the gift bags so each senior will get one.  Merry Ann will check with George Slusser to see if he can copy them. 

 

Entertainment:  Rosamaria said that Rod Hill is sending in his invoice and that he is all set.  She will go over his music list and make appropriate selections.

Steve Bell mentioned that he might try a video in the gym where a live video is show on the wall of students participating in events at school.  Need help with the henna tattoos.  Students could tattoo themselves with adult supervision.  Renee Cloutier is almost finished with the photo booth; it's painted.  Need to get cameras and Polaroid film from Betsy Nelson to use at booth.  Setup at beginning of night and at the bowling alley so everyone gets the chance to have their "picture" taken.

 

Other news:  Security/Kris was looking in to this and will let us know next week.  Do we need them all night or only when we're at school?  Also, Norma Wells has not let Sally know who the custodians are who will be working that night and who has the key.

Minutes for the May 14th Project Graduation Meeting:

 

- Welcome

 

- Secretary's Report for May 2nd is on the web site (or should be, need to check with Ed Barry again!).

 

- Treasurer's Report:  Balance as of today is $24,077.28. 

 

- Permission Slips for Project Graduation night - have received 17 as of today.  We need the senior permission slips and their guest permission slips turned in ASAP   They are currently in the office and (hopefully) on our web site.  Matt Rector has been asked to contact the students in Tech about these.   The next senior class meeting is 5/23 and we should have a final count by then.  Pam Bell said after the meeting that she has 5 entries for the t-shirt contest and will announce how long they have to vote so she can get the winning entry in to Chris Hughes.  He is aware of the colors they want, etc. 

 

- Sally brought up a fundraiser sponsored by McDonalds called "McTeacher Night".  They would have this on Tuesday, 6/5 from 5-7 PM where we would work the grill, serve, etc. and 20% of the profits would go to Project Graduation.  Her intention is to run this once a month and rotate it throughout the school district (another class/organization could use it).   They will advertise it on a local radio station, we would have to advertise the night we'd be there.  We would decorate in our school colors; the manager has the art students already set up to decorate the windows.  They need 10-15 parents and would have to be there at 4:30 for training.  Question was asked if we could do it sooner, like 5/29?  

 

Can Fundraiser:  cans are still out in their locations and will be picked up. 

 

Hill Communications donated 10 cases of water and Tim Palermo volunteered to pick them up at 70 Joy Drive in So. Burlington.    Four Seasons Real Estate donated $150.00.

 

Food Committee:  Dave's Pizza is closing at the end of the month and therefore, we will not be able to obtain pizzas from them for the night of Project Grad.  Kathy Dulac will check with Zachary's in Milton, Rosarios and Little Caesars.   Kathy can use the kitchen and freezer per Betsy Paya.  She is in the process of obtaining Ben & Jerry's Peace Pops. 

 

Prize Buying committee:  no updates tonight.  Tammy did purchase some decorations that the Junior parents will help with decorating the high school.

 

Spirit of Ethan Allen:  need feedback on when Rod Hill, the DJ, needs to set up, etc.  They are waiting for his call.  Also, we need a playlist so we can pre-approve the songs.

 

Security:  Deter was used last year.  They should be present while we're at school, but are they needed while the students are on the boat and at the bowling alley?  Sally will check.

 

Custodial staff has the key to the school.  Sally will check to see who has the key, which custodians we'll have that night and if they stay all night.  She'll check with Norma Wells.

 

Mr. Tux:  2 more tickets were sold after the meeting tonight for a total of 16 tickets.  When the winner is picked it needs to be announced.

 

Prom Night:  Liz Dulac, Senior Class President, is looking for "group" photos of your children with their friends from the past or present; ie. Boy Scouts/Girl Scouts, sports events, drama events, get togethers, etc.!  Please have your student give them to Liz at school or drop them off to Kathy Dulac at the Public Library.  They will be scanned and returned to you and be used in a "collage" for prom night!

 

Calling all JUNIOR PARENTS!  If you know of any Junior class parents, please ask them to attend our next meeting on Wednesday, May 30th!  We need their help with decorating on 6/16, running errands to pick up food, etc. on 6/16; they will donate baked goods, etc.  A letter should go to them in their children's report cards on what Project Grad is and how they get started!

 

Next meeting is Wednesday, May 30th (don't forget to invite the Junior parents!).

 

 

 

Project Graduation Meeting Minutes for May 2nd:

Treasurer's Report:  Debbie Harkins collected $1,748.00 tonight from the sale of Outback Luncheon tickets, aroma globes, Prom raffle tickets.  With this additional money, we are officially DONE FUNDRAISING!!!!!!!!!!!!!!!!!!!! 

 

Outback Luncheon:  Betsy Nelson reported that all but 20 or so tickets were sold and that a plaque was given to the manager of Outback thanking him for this fund raiser.  The plaque cost about $100.00.

 

Aroma Balls:  looks like all of the 17 cases of aroma balls have been sold! 

 

Community Donations:  Chuck has not had any luck calling businesses as a follow-up to the letter sent in early March.  We did receive donations from Revelations Hair Salon of $50.00, Boosters donated $425.00 (plus previously $75.00 for water) and Kevin Smith's Sports Connection donated a $25.00 gift certificate.

 

Mr. Tux:  No orders today but they have 15 students signed up for tuxes.  That's a $75.00 profit.  Tammy Thibault was at school on Monday, 4/30 to sell Prom Package raffle tickets, sold 5. 

 

Gift Cards:  Penny needs to order the cards by 5/18 to get them by June 1st.  If, for some reason, they need to be returned (don't work...) she needs that much lead time.  Tammy Thibault needs to know how many seniors will be going.  Order 110 (if we have extra, they can be cashed)?

 

Senior Class Meeting is tomorrow, 5/3.  Pam Bell volunteered to attend to discuss the Prom Package, the t-shirt design contest to be held (need designs back within the next 2 weeks so there will be time to print them; they need to decide when to meet again to vote), and the permission forms needed for the seniors and if they have a guest.  Raffle date will be 5/16.  Debbie Kent will collect permission slips (due 5/16).

 

I will contact Matt Rector, the senior class guidance counselor, so see if he can forward information to the "tech" kids.

 

Tina Coolbeth volunteered to hand anything into the office for announcements and to post around school; senior board, etc.  Let her know what we need announced.

 

Food Committee:  Kathy Dulac did meet with Teresa Lewellyn who coordinated this for 2006 and has the numbers needed to feed approximately 200 students/volunteer parents.  She'll make phone calls to Dave's Pizza, Subway, etc. We'll have pizza, cheese/crackers, soda, water, baked goods at school; subs, water, soda, chips, fruit on the boat and breakfast will probably be bagels, muffins, coffee, tea, juice.  Need to ask the Spirit of Ethan Allen if they supply the cups/ice for the boat.  She will also contact Junior parents to do the "running" to pick up ice, etc. and to bring baked goods, or other food donations, etc.  The Food Committee is meeting Monday, 5/7 at 7:00 p.m. in the library.

 

Miscellaneous:

 

A key is needed to get into the school 6/16.  Who will be here with that?  We need to arrive by 5:00 p.m..  Sally will email the IL's to ask about the key.

 

Judy P. will ask Tim if he can check on how many buses we'll have (3?), who is driving, etc.

 

Rosamaria will contact Rod Hill the DJ for the boat to ask if he needs money ahead of time and when and what time he'll bring his equipment on to the boat.  Judy P. will contact Rosamaria to ask her to do this.

 

We're asking the girls to keep their pocket books at home as we are going to take their cell phones and keys.  But, if they need to bring a pocket book, we'll ask them to show an adult what is in it.

Project Graduation Meeting Minutes for Wednesday, 4/18:

 

Secretary's report for the 4/9 meeting is on the web site.

 

Treasurer's Report:  Debbie Harkins reported that Wendell's Furniture donated $100.00 and she made a deposit of $322.00 (from selling globes, Outback tickets, etc) with expenses of $70.00 to pay the Junior and Senior class for expenses incurred for Spirit Night.  Boosters (thank you Tammy Thibault!!) donated $425.00 tonight!!

 

Donation Cans:  Terri Learned said she now has cans at Zachary's, Milton Diner and Dave's.  Chuck has them at Frenchy's Meat, Middle Road Market, Milton Rental and two at Kinney Drugs and at the Eagles Club.  They've only been out about a week, so will report later on donations made.

 

Mr. Tux:  April 30th will be when Daniel Cheney, Stuart Bell, Alex Wicinski and possibly Cody Flaugh will wear their tuxedos, supplied by Mr. Tux.  They will sell raffle tickets for the Prom Package.  We should meet with the senior class at their meeting May 3rd to speak about the package.  Need to let Maryann Carlson know what we need for time.  There will be a t-shirt design contest (the t-shirts will be given to them in their gift bags).  Mr. Tux will be contacted by Judy Palermo about when they can come in for tux fittings.  Tammy Thibault volunteered to sell tickets during the lunch hour on 4/30.

 

Outback Luncheon:  Betsy reported to Sally today that there are about 70 tickets outstanding.  If anyone needs tickets, please contact Betsy.  Tina Coolbeth will have some to sell at the high school and Sally and Karen have them at the elementary school.

 

Prize Buying Committee:  Tammy Thibault had called a few banks regarding the gift cards, but they are either not doing them or charging fees.  Debbie Harkins noted that she had spoken to Tammy Sweet and the Key Bank will waive their 10% fee as a donation and so it will only cost us the $100.00 per card.  They can have something printed on them (ex:  Congratulations or Best of Luck, etc.) but needs to know by 5/18.  We decided to order 110 cards.  In their gift bag will be the t-shirt, the gift card, candy and possibly gas cards if there is enough money for them.  We have 25 Pizza Hut cards left and instead of sending them back we'll keep them to use as part of the raffles.  They'll contact movie theatres for ticket donations.  Al's French Fries donated five $5.00 gift certificates.

 

Senior and guest permission slips and surveys needed back by 5/10.  Speak to them at the senior meeting 5/3 about them getting these in the mail.  Can Debbie Kent collect them when they come in?  Is Karen Prisco sending them out?  Talk to the seniors about the t-shirt design contest.  They get to vote on which one they want for the t-shirt.  Chris Hughes needs to know soon.

 

Entertainment Committee:  Tim Palermo called the Spirit of Ethan Allen and we are the only school onboard from 10-12 but will be on the 1st floor with access to the outside on the 1st floor deck only.  The DJ has to call Wenda for setup time at least one week before 6/16.  He can put his equipment on the boat before that date also.   Steve Bell will give us a list of how many people he'll need at which event. 

 

Food Committee:  Will send out letter to the committee to meet before 5/2 to discuss what food we need where, how much and what the theme will be.  There is a $650.00 budget, who can donate food/drinks and which Junior parents can help us.

 

Other:   We decided not to try "Gaming Night".  Steve Rose will speak to the Hockey folks.  We've decided not to do the Executive Car Wash because we'd need too many people and don't have the volunteer base, so we will probably just do a normal car wash at Four Seasons on Sat., 5/12.  It's tentative at this point.  Need to check calendar and make sure no one else is having one that day.    Looks like all of the 17 cases of aroma glass globes will be sold (12 per case).  Thank you Valerie for bringing this up as a great fund raiser.  I will send Gardner's Supply a thank you note!  We will make over $1,000. on the sale of these!

April Project Graduation Meeting Minutes 4/9:

You will now find the meeting dates when you open up this site.  We'll be meeting twice a month until graduation to ensure we've covered all items.

 

Treasurer's Report:  Debbie reported that we made about $5,600 on Spirit Night.

    $4,400 -    tickets

          457 -     50/50 raffle

          200 -    donated winnings from 50/50 raffle

          545 -    concessions

 

Where we are:  Budgeted $800/t-shirts; $500 for candy/decorations; $10,000 for gift cards; $2,200 for door prizes night of Project Grad.  We need about $4,000 more.  Still outstanding are:  Outback Steakhouse lunch (has received $340.00 on these already); Mr. Tux/Prom Raffle; Essential Oil globes to be sold; Pizza Hut cards; business donation cans; flamingo donations; Executive car wash (do we want to do?). 

 

Insurance:  Kris reported that Barsalow Insurance came through with a quote of $300.00 for liability insurance the night of Project Graduation and she will purchase this for us.

 

Fundraising:  Meeting will be held this Wednesday, April 11 at 7:00 PM in the High School Library.

 

One donation was sent by PBM Nutritionals (former Wyeth in Georgia) for $50.00.  Terri stated that the cans are being put out at businesses again.

Stacy Van Gemert will check with Renee's and Short Stop on how much in bottles have been brought in for Project Graduation and if they will be sending us a check or give the money directly to her.  Still need to follow-up with businesses that were sent a solicitation letter and have not responded.

 

Mr. Tux/Prom Package:  tickets for raffle aren't selling.  Could Liza Dulac, the senior class president, let them know about this at their next meeting.  When is that?  How do the Tech kids get the info.?  Tina Coolbeth has tickets and we can send students to her, room 110, ext. 116 in the Middle School wing. 

When do they wear them:?  May 4th? Drawing could be May 11 and their tux fittings on May 18th?

 

Val Beaucage was given cases of glass globes that can be used with essential oils and hung up so that light filters through them and they give off a beautiful aroma (she brought 2 to the meeting and I bought both!).  We'll sell them for $5.00 a piece.  Gardener's Supply ordered a different color swirl pattern and gave them to her for free because they didn't like this one.  She'll bring some in to school to sell and if anyone else is interested please let her know!  (Trust me, you'll love them, they're beautiful!).  You do have to buy the oils for them, but she was also given coupons that are "buy 1 bottle of Essential Oil and get the second free" from Gardener's Supply which expires 5/1/07 (just checked the coupon)!   If interested in seeing one, let Val know!

 

 

Entertainment Committee: Tim Palermo says all is in place for the DJ on the Spirit of Ethan Allen, galactic bowling at Yankee Lanes, etc.  See the "tentative schedule" on the Project Grad web site.

 

Outback Steakhouse Milton Project Graduation Luncheon:  Betsy was unable to attend but gave me the tickets to bring to the meeting.  Four were sold and Sally took #33 through 82 to sell and Tina Coolbeth took #83-86 to sell.  As reported above, Debbie collected $340.00 in sales.  Please get the word out, the luncheon is Tuesday, April 24 (during our spring break) and the tickets are only $10.00 a piece!  This is pure profit for us!  Let Betsy Nelson know if you need any tickets to buy or sell.

 

Food Committee:  Not present, but Kathy Dulac and Karen Prisco know what they will need for food.  We do need an estimate of how much money is needed to purchase this food.  It was suggested that subs be given on the Spirit of Ethan Allen cruise. Two years ago they fed them at school, then gave them dessert on the boat.  The consensus was that the kids will probably be hungrier when they're on the boat.  Lots of fluids are needed... water, juices, etc.  Clear Water Communications has contacted us about donating water for Project Graduation and I have sent that information on to Kathy and Karen.  Also, what will the "theme" be? 

 

Prize Buying Committee:  Tammy Thibault discussed that she would only decorate the lobby and save the money for other things.  She did not realize that Debbie had already budgeted money for prizes and hopes to be able to give each senior $100 gift card.  There will be 20-30 prizes (maybe more if money allows) that the kids could win.  Discussed t-shirts, as Sally says Chris Hughes is waiting to hear from us; the total cost for seniors/parents would be about $1,000 and Debbie had already budgeted $800 for them.  The t-shirts would be given to the seniors in their "goody bags".

 

Other: Angela King, a sophomore, contacted Sally about us buying their extra cling on stickers of "Milton Yellowjackets".  They were selling one for $3.00 or two for $5.00 but we decided not to purchase them as the consensus was our seniors will probably want their college sticker instead of this one.  Sally will let her know we're not interested. 

 

A form will be sent out to all seniors soon explaining all out Project Graduation and what is expected.  They tell us their t-shirt size; if a guest is coming, etc.  We will tell them that if they bring a bag with them, that we are not responsible for any lost or stolen items.  We will take their keys and cell phones for the duration. 

 

The next Project Graduation meeting is going to be early; Wednesday, April 18th (due to spring break) and the two in May are Monday, May 14th and Wednesday, May 30th.

Treasurer's Report:  Debbie Harkins, Treasurer, reported that there is a balance of $14,378.69 in the check book.  We need to reserve $2,500 for the next class to have as start up money and we still have not paid for insurance for Project Graduation night at the high school.  There was a deposit of $361.75 from the Ham Radio Show concessions but $148.00 was spent on food so the profit was $213.75.  $50.00 was donated by Bob Ware.

 

Insurance:  Kris spoke to Charlie Barsalow of Barsalow Insurance and he is sending an estimate on what it will cost for insurance the night of Project Graduation.

 

 

Donations Committee: Karen Abbott sent out 62 letters to area businesses requesting a donation to Project Graduation.  Terri Learned explained that the "cans" were not back in businesses and that they were thinking of April to return them (try to find places that will bring in more.  A suggestion was made to put pictures of actual seniors on the cans to show the community who is involved).  Hannaford's has picked Project Graduation as the recipient of any bottles donated during the month of March. 

 

Flamingo update:  Lori Hay collected $145.00 from flamingos.  Not sure the other flamingos are being circulated and would request that Trish and Greg return them so that someone else can get them out there.

 

Fund Raising:  The profit on the basketball concessions was $3,300 with $1,200 made on the 50/50 raffle.  Thanks to Pam Bell for organizing and running this!

 

Judy Palermo has an idea to sell carnations at the elementary and high school on the Friday (May 11th) before Mother's Day.  Betsy will check on prices at Shaws as it will cost $.75 per carnation from the Secret Garden. 

 

Mr. Tux -   We would get $5.00 for every tux that is rented.  Four or five guys needed to dress up for one day to model tuxes.  They (along with other students who sign up) will hand out pamphlets and if 10 friends bring in their pamphlet they could get a free tux rental and the friend would get a discount.  It was agreed that Judy could send in the contract for cash back.  Need volunteers to model week of April 30th and to get measurements week of April 16th. 

 

They have a scholarship package and that information has been to Matt Rector.

 

It was questioned how the VocTech kids were informed of any senior event, etc.  Tina Coolbeth will talk to the IL's and see if she can set up a board with information for these kids.  Also, emails could be sent to these kids (all seniors?) on upcoming events, etc.  Send Tina any information we want posted - tcoolbeth@mtsd-vt.org.)

 

Prom package raffle:  confirmed gifts are: Bonnie Lauzierre - free men's cut; Revelations - free up-do; Secret Garden - free corsage & boutonnière; Mr. Tux - free tux rental; University Mall - $25.00 gift certificate; need certificates for dinner.  (The prom is on Sunday, May 27th at the Holiday Inn Express.)

 

Need posters made - Tina said she could have some students do these for us.

 

Other Fund Raising Ideas:

 

Family Fun Day - discussed the possibility of having a family fun day with booths (like dunking, relay, etc.) but it was decided we did not have enough time to plan.  Other ideas:

 

Movie night?  Gaming Night? (Steve Rose thought Hockey might help) - set up XBoxes, Playstations, Dance-Dance Revolution and have a tournament.  Have a live band that won't charge us but we charge admission?? 

 

- Raffle tickets for a hot tub if we could get one donated by local business.

- Concession set up at rest areas

- Penguin Executive Car Wash - help clean cars and get tips - 2 day fund raiser; last class made about $1,000.  Ask for senior volunteers

 

Next Fund Raising Committee meeting is Wednesday, March 21st.

 

Entertainment Committee: Steve Bell (through Pam) reported that the only change is that the hypnotist would be on from 8:30-9:30 instead of starting at 8:00 p.m.

 

Spirit Night:  Betsy Nelson said the cost of tickets will be $8.00 adults; $5.00 students and seniors and $20.00 for a family of 4 or more.  She does not want to coordinate the DVD sales (about a $350. profit last year) so if someone wants to take that on, that's OK.  She met with the freshman and junior classes to go over the process.  Has requested a rough script by Friday, 3/16. Rehearsals start Monday, 3/19 and she has rehearsal places firmed up.  Project Grad. will give each class $100.00 for supplies.  A receipt must be given to the adult in charge to get reimbursed or the adult can get the money ahead of time.  On Thursday, 3/29 the kids can see the dress rehearsal but must pay to watch on Friday or Saturday.    Decided to do parent skit both nights.  Possible theme:  Teenage soap opera:  "As the teenager turns - their parents old" loosely based on the cartoon "Zits".  It needs to be about 20 min. long...suggested adding commercials.  Tina Coolbeth will let me know when the first parent meeting will be; possibly this Thursday, 3/15.  Not sure where yet.

 

Need small donations from businesses to help with the 50/50 raffle (like hats, t-shirts, etc.)  Junior parents will run concessions.

 

Outback Steakhouse luncheon:  Tuesday, 4/24 (during spring break!) - tickets are being printed (Betsy hasn't decided on price yet) but they will be available for sale during Spirit Night rehearsals. 

 

Food Committee:  No one was present to give an update.

Next meeting is Monday, April 9th at 7:00 p.m. in the library!      We will start meeting every other week until graduation!  The 2nd meeting of the month is going to be on Wednesday nights (the library needs to be booked for these dates and when that is done it will be posted on the web site and a note will be sent out!)

FEBRUARY 12TH PROJECT GRADUATION MEETING MINUTES;

 

Introductions by those in attendance.

 

Treasurer's Report read by Debbie Harkins, Treasurer:

 

We are at 50% of goal with an ending balance of $12,226.65.  January deposits were $1,812.00.  There are 70 chocolate bars still outstanding to sell and 62 Pizza Hut cards.  Sally VanDreser Cheney will put a notice in the Milton Elementary School weekly newsletter to try and sell some of these. 

 

Ham Radio Show 2/24:

 

Kris Lukens-Rose spoke about doing concessions for the annual Ham Radio Show that will be held on Saturday, Feb. 24.  She needed volunteers to work the breakfast and lunch times along with donations to sell.  A separate note will be sent out.

 

Spirit Night - March 30th and 31st: 

 

Betsy Nelson said the dates are set for Spirit Night, Friday, 3/30 and Saturday, 3/31.  She sent around a sign up sheet for help in selling tickets on the nights of practice and for help the nights of the performances.  The cost for us will be for the lighting and sound technicians, around $150.00.  There is an additional cost for lighting but she did not have that at this time.  Practices are from 7:00-9:00 p.m. with dress rehearsal Thursday, 3/29.  Betsy will have tickets printed.  They will be selling a 50/50 raffle both nights; need help with setting up and taking down chairs, etc.  Last year about $5,500 was made toward Project Graduation.  March 21st will the auditorium will not be available as the One Act play (for competition) will have the play for the community that night.  (Karen Abbott will contact Paul Curtiss, the drama director, about other nights he will need the auditorium for rehearsals and will get back to Betsy.)

 

Basketball Concessions:

 

Pam Bell reported that concessions has made a profit of $4,279. with one game left this week (playoffs to be determined).  They are OK with food donations for this last game.  If there is a snow day Wed., 2/14 then the game is suppose to be played on Thursday, 2/15.

 

Entertainment Committee:  Pam spoke for Steve Bell and said he is still waiting for a contract to come from Entertainment Solutions so we can send them a deposit.

 

Community Donations:  Kathy Dulac reported that she will send out a second letter to those businesses that did not respond to the first letter sent this past Fall.  After that, phone calls should be made with follow-up at the business in person if someone can be found that would do that.  If anyone has an employer or knows of any business that would like to help out Milton's Project Graduation, please let Kathy know.  The Colchester/Milton Rotary was mentioned and that Kevin Endres is usually the spokesperson for them. 

 

Business Donation Cans:  Chuck  and Terry have decided to put them on hold for a while as the donations haven't been coming in as they were at first.  They'll wait a few weeks and then redistribute them to the local businesses.

 

Flamingo's:  Lori Hay made $200.00 on the 3 sets of flamingo's and will only be able to continue this until the end of March and can pass them on to someone else who would like to be involved.  Trish Blanchard and Greg Fay are currently  working with Lori and have 2 sets each.  If anyone is interested, please contact Lori.

 

Prom Package:  Judy Palermo mentioned that last year there were 2 prom packages but that Mr. Tux will agree to only one free tux rental this year.  Debbie Harkins mentioned that last year Master's Tuxedo and Mr. Tux were contacted and they both agreed on 1 free tux rental and then the companies merged and so they honored both of the free rentals.  Getting a free hairdo/style from Revelations and looking at Sirloin Saloon for a gift certificate for $50.00 toward dinner.  Judy asked if we should stay with two prizes and just make one smaller (no tux rental included) and the other would have everything.  Mr. Tux will donate $5.00 toward Project Graduation with every tux rented for our prom.  (We think the prom will be held on Sunday, May 27th (Memorial Day weekend) but need to confirm.)  Tickets can be sold at Spirit Night for these raffles and the winner will be picked at school on Mosaic Day (day of diversity).

 

Outback Steakhouse luncheon:  Betsy reconfirmed that the luncheon will be held on Tuesday, April 24th.  We have 200 tickets to sell and it is pure profit.  She'll let us know when she gets the tickets to start selling them.

 

Fundraiser Committee:  One fundraiser that was discussed at their last meeting was a "dinner with a  pie auction".  Chuck C. is looking in to where it could be held (Eagles?  the elementary cafeteria?).  Would probably be in mid-April.  Buy tickets to a meal and bid on your favorite type of pie!  Still in the planning stage.

 

Miscellaneous:  Twelve thank you notes were sent to businesses for their monetary or other donations.  John Sharrow of Mountain Transit has agreed to donate the use of his buses.  Tim Palermo sent him a note on 2/5 to follow-up.
